Configuring HR Process Automation in Bitrix24

The HR department lives in spreadsheets: employee list in one file, vacation requests in another, onboarding plan in a third, performance reviews in the manager's email. When a new employee arrives, HR manually creates accounts, sends memos, assigns tasks to mentors. Half the steps fall through the cracks. Onboarding: From Offer to End of Probation

A business process launches when an employee is added to the company structure in Bitrix24. The sequence:

  • Day 0 — automatic task creation: IT gets a task for account and equipment, HR — for document preparation, mentor — for an onboarding plan.
  • First week — the employee receives a series of messages in Bitrix24 chat: knowledge base links, regulations, contacts of key people.
  • Control points — at 30, 60, and 90 days, the business process creates a task for the mentor and manager: complete a feedback form. Results are saved in the employee record.

Probation and Performance Reviews

Tracking probation is a business process with deadlines. Two weeks before the end, the manager gets a notification reminder to make a decision. If "extend"—the process extends with a new deadline. If "complete successfully"—the employee status updates.

Performance review is built on a smart process with a review card. Each element is one employee review. Fields: name, department, date, competency ratings, final score, decision. Stages: "Collect Feedback" → "Discussion" → "Decision Made". Moving between stages triggers notifications to participants.

Smart Processes for Personnel Requests

Smart processes are flexible tools for any requests requiring a card with fields, stages, and automation. For HR:

  • Training request — employee creates a card with topic, justification, cost. Route: manager → HR → accounting.
  • Business trip request — dates, city, purpose. Automatic per diem calculation through a formula in the business process.
  • Document request — document type, timeline. HR gets a task; when completed, the employee gets a notification.
