Bitrix24 Setup for Manufacturing Companies
An order is accepted, but manufacturing gets info two days later — the manager forgot to pass the specification. Production launches the product from an old drawing while the client already made changes. The procurement team didn't know about the order and didn't order components on time. Three failure points that repeat weekly. Bitrix24 links sales, production, procurement, and quality control into one process: from client inquiry to finished product shipment.
Order → Production Funnel
A CRM deal is a client order. The funnel reflects the complete cycle:
- Inquiry — client contacted, manager clarifies parameters
- Estimation — technologist prepares cost and timeline calculation
- Proposal Sent — proposal at client
- Confirmation — client approved specification
- Payment — advance or full payment
- In Production — order transferred to manufacturing
- Quality Control — finished product verification
- Shipment — packing, logistics, handover to client
- Closed — report signed
Deal custom fields: order number, specification, quantity, material, manufacturing deadline, drawing (file).
Production Orders via Smart Processes
For internal tracking, create smart process "Production Order" — separate entity linked to CRM deal. Fields:
| Field | Purpose |
|---|---|
| Production Order Number | Internal numbering |
| Product | Name, SKU |
| Quantity | Output volume |
| Specification / BOM | Materials and components list |
| Responsible | Workshop master / technologist |
| Planned Completion | Manufacturing deadline |
| Status | Awaiting Materials → In Progress → Ready → QC → Shipped |
Smart process with its own Kanban board: production manager sees all orders by stage.
Component Management and Suppliers
Second smart process — "Procurement". When production order created, robot analyzes specification and creates task for procurement specialist with required materials list. Suppliers maintained as companies in CRM with custom fields: goods category, payment terms, delivery time, reliability rating.
Link: deal (client order) → production order (what to make) → procurement (what to buy).
Quality Control
On "QC" stage of production order, create task for QC specialist with checklist:
- Specification compliance
- Visual inspection
- Measurements / testing
- Packing and marking
If verification fails — task returns to production with non-conformance comment. Order status changes to "Rework".
Automation
- Deal moved to "Payment Received" → auto-create production order
- Production order created → task to procurement "Verify material availability"
- Stage "Ready" → task to QC specialist with checklist
- QC passed → notify manager "Order ready for shipment", task to logistics
- Shipment completed → deal stage change, client notification
Deadline Control
Planned completion date in production order monitored by robot: 2 days before deadline — notify workshop master. On overdue — notify production manager and sales manager, task "Inform client of delay".
