Bitrix24 Setup for Travel Agencies

A client calls asking tour details, but the manager can't find their booking — data in one Excel file, correspondence in WhatsApp, passport info in a separate folder. High season starts, need to call last year's clients — but there's no list, only scattered notes. Bitrix24 consolidates the client base, bookings, documents, and communications into one system. A manager opens a client card and sees everything: trip history, preferences, documents, current bookings.

CRM: Client Card

A contact in CRM is a tourist. Standard fields (name, phone, email) supplemented by custom fields:

  • Passport Data — series, number, expiry (for visa processing and bookings)
  • Birthdate — for congratulations and age restrictions
  • Preferences — vacation type (beach, excursions, skiing), budget, preferred countries
  • Notes — allergies, special requests, family composition

Company in CRM is a corporate client booking group tours.

Booking Funnel

Deal = tour booking. Funnel stages:

  1. Inquiry — client contacted, interested in destination
  2. Tour Selection — manager selects options, sends proposals
  3. Confirmation — client chose a tour, clarifying details
  4. Booking — manager books with tour operator
  5. Payment — invoice issued, awaiting payment
  6. Documents — visa processing, insurance, voucher issuance
  7. Document Delivery — everything ready, client received documents
  8. Completed — client traveled, tour completed

Deal custom fields: country, departure/return dates, hotel, meal plan, number of tourists, operator booking number.

Tours via Smart Processes

For tour catalog, create smart process "Tour": destination, dates, hotel, price, available spots, description. Deal links to specific tour — shows how many spots sold, how many remain.

Seasonal Campaigns

Before season start, remind previous year's clients about your services. Tools:

  • Segment — "Clients who traveled to Turkey last summer"
  • Email Campaign — early booking with special offer
  • Sales Generator — auto-create deals for manager follow-up calls

Document Management

B24 Drive stores passport scans, visa copies, contracts, vouchers. Documents link to contact card and deal. Contract template with auto-fill: name, passport data, tour dates, price — generated from deal.

Automation

  • New inquiry → task to manager "Contact within 30 minutes"
  • "Booking" stage → task "Book with operator", client notification
  • "Payment" stage → SMS with payment details, reminder after 3 days if unpaid
