Bitrix24 Setup for Legal Firms

A lawyer manages 40 cases simultaneously. Court filing deadlines noted in a day planner, client correspondence in personal email, contract templates in a desktop folder "Documents_new_final_2". A missed appeals deadline costs the client their case and the firm its reputation. Bitrix24 transforms chaos into system: every case tracked, deadlines controlled, documents centrally stored, communications logged.

CRM for Clients

Contact is a natural person, company is a legal entity. Custom contact fields:

  • Tax ID — client identification
  • Client Type — natural person, sole proprietor, legal entity
  • Case Category — civil, criminal, arbitration, corporate
  • Source — referral, website, repeat inquiry

Deal funnel is the client's path from inquiry to case completion:

  1. Inquiry — initial consultation
  2. Case Assessment — document analysis, prospects
  3. Proposal — service cost calculation
  4. Contract — signing, advance payment
  5. In Progress — case assigned to lawyer
  6. Completed — work done, report signed

Cases via Smart Processes

The key entity for legal firms is case (matter). Smart process "Case" with stages and fields:

Field Purpose
Case Number Internal record
Case Type Civil, arbitration, criminal
Court/Instance Where heard
Responsible Lawyer Employee link
Opponent Case counterparty
Key Dates Filing, hearings, appeal deadlines
Status Preparation → Filed → Hearing → Decision → Execution

Each case links to a client (contact/company) and deal (financial aspect).

Deadline Control

Deadlines are critical for legal work. Control tools:

  • Custom date fields in smart process: hearing date, document filing deadline, appeal deadline
  • Robots — 3 days before deadline auto-notify lawyer and manager
  • Tasks with deadlines — task for each case stage: prepare lawsuit, file documents, prepare for hearing

Overdue task immediately visible to manager in report.

Documents

B24 Drive with folder structure: client folder → case folder → documents. Auto-fill templates:

  • Legal Services Agreement — name, passport data, amount, service description substitution
  • Power of Attorney — template with client fields
  • Complaint — base template with variables

Documents generated from deal card or smart process.

Communication Log

Every client interaction recorded in card timeline: calls (call recordings), letters, messenger messages, lawyer notes. Full communication chronology by case if needed.

Automation

  • New inquiry → task to duty lawyer "Conduct consultation"
  • Contract signed → create smart process element "Case"
  • 3 days before hearing → lawyer notification, task "Prepare materials"
  • Case completed → task "Prepare report", client notification
