HR Module Setup in Bitrix24

A new employee starts — and spends the first week going from office to office: sign here, get access there, fill out paperwork. HR keeps an onboarding task list in their head or in notes. Vacation requests come as private messages, sick leave is filed retroactively, and the employee registry is an Excel file not updated since last quarter. The HR module in Bitrix24 isn't a replacement for payroll software, but it covers operational HR tasks: onboarding, requests, employee directory, HR processes.

Employee Directory

The foundation of the HR module is company structure and employee profiles. Each employee has a card with data: full name, job title, division, hire date, contacts, photo.

For HR, custom fields are added:

  • Birth date — for automatic birthday wishes.
  • Probation end date — reminder for HR a week before.
  • Work format — office, remote, hybrid.
  • Shirt size — if the company provides uniforms.

Custom fields are created in Settings → Custom Fields. Field visibility is configured: some data is visible to all, some only to HR and manager.

New Employee Onboarding

Onboarding is automated via business process or task template with subtasks. When adding a new employee, a chain launches:

  1. HR — prepare documents, set up account in payroll system, issue access card.
  2. IT — create account, set up workstation, issue equipment.
  3. Manager — conduct intro meeting, assign mentor.
  4. Mentor — train on processes, provide knowledge base access.
  5. Employee — fill profile, complete training, sign documents.

Each task has an owner and deadline. HR sees onboarding status: which items are complete, which are overdue, where it's stuck.

Employee Requests

Typical HR requests are processed via business processes in the Activity Stream or special lists:

  • Vacation request — employee enters dates and type. Request goes to manager for approval, then HR to process.
  • Business trip request — dates, city, purpose. Route: manager → CFO → HR.
  • Document request — 2-NDFL, employment record copy. HR gets a task with deadline.
  • Training request — employee requests a course or certification.

Each request goes through an approval workflow. Statuses: "Under Review," "Approved," "Rejected." The employee sees their request status in real time.

Employee Documents

Bitrix24 doesn't replace an HR system but stores employee documents linked to their profile:

  • Passport scan, Social Security number, Tax ID.
  • Employment contract, amendments.
  • Requests (vacation, termination, transfer).

Documents are uploaded to Drive linked to employee profile. Access is restricted: only HR and the employee see them. Manager sees general documents (job description) but not personal ones (passport scan).

Termination and Offboarding

The reverse process — offboarding. On termination, a business process launches:

  1. Manager — hand off work, reassign tasks.
  2. IT — block account, recover equipment.
  3. HR — process documents, calculate severance.
  4. Accounting — final settlement.

Employee is deactivated after all items are complete.
