Setting up Bitrix24 calendars

Calendar Setup in Bitrix24

A meeting is scheduled for 15:00, but three participants only learned about it 10 minutes before — the invite got stuck in email. The conference room is booked because reservations happen verbally. A manager has two calendars: one in Bitrix24, another in Google Calendar — events duplicate or disappear. Calendar in Bitrix24 isn't just a date grid, it's a coordination tool: department calendars, conference room booking, external service sync. But by default each employee only sees their empty calendar.

Calendar Types

Bitrix24 has three levels of calendars:

  • Personal calendar — for each employee. Personal meetings, task deadlines, reminders.
  • Group (project) calendar — shared by team members. Events visible to all project participants.
  • Company calendar — organization-wide. Holidays, corporate events, payroll dates.

Company calendar is created by admin in Settings → Calendar. Group calendars are created automatically when a project is created.

Creating Events

An event is created by clicking a date in the calendar. Parameters:

Field Description
Title Brief description: "Sales Team Standup"
Time Start and end, with "All Day" option
Participants Bitrix24 employees who get the invite
Location Conference room (from booked resources list)
Reminder 15 minutes, 1 hour, 1 day before
Recurrence Daily, weekly, monthly — for regular meetings

Participants get an invite in notifications and can accept or decline. Attendance status is visible to the organizer.

Conference Room Booking

Conference rooms are added as resources: Settings → Calendar → Conference Rooms. Each room is a separate resource with parameters: name, capacity, equipment (projector, whiteboard, video conferencing).

When creating an event, the employee selects a room. If occupied at that time — the system shows a conflict. Double-booking is prevented.

For multi-office companies, rooms are grouped by location.

Google Calendar and Outlook Sync

Bitrix24 supports two-way sync:

  • Google Calendar — connects via OAuth in Profile Settings → Calendar → Sync. Google events appear in Bitrix24, Bitrix24 events appear in Google.
  • Outlook (Exchange) — connected via CalDAV or integration module. Works for desktop Outlook and Outlook 365.
  • iPhone / Android — mobile calendars sync via CalDAV subscription or Bitrix24 app.

With two-way sync, it's important to choose a "master calendar" — the source of truth. Otherwise a change in one place overwrites a change in the other.

Reminders and Notifications

Reminders are configured per event and at profile level:

  • Push notifications — to Bitrix24 mobile app.
  • Chat notification — message in Bitrix24 messenger.
  • Email — for those not constantly in Bitrix24.

For recurring meetings (daily standup, weekly report), reminders are set once when creating the recurring event.
