Task Deadline Control Setup in Bitrix24
A task is overdue by three days — nobody noticed. The creator finds out by chance when a client calls asking "where's the result?" The owner says they didn't see the deadline. The manager says they have 200 tasks in the list — tracking each one is unrealistic. The problem isn't people, it's the lack of a notification and escalation system. Bitrix24 can remind about deadlines, signal overdue tasks, and automatically escalate — you just need to set it up.
Deadlines and Reminders
Every task in Bitrix24 has a deadline field. Without a deadline, a task isn't controlled — it just sits in the list without a time anchor.
Rule: deadline is mandatory when creating a task. This can be enforced organizationally (policy) or via task templates where the deadline is already set relative to creation date.
Reminders are configured in the task card: Remind → 1 hour / 1 day / 3 days before deadline. The reminder goes to the owner and creator — via Bitrix24 notification, mobile push, or email (depending on profile settings).
Overdue Counters
Counters are red circles on the task icon in the left menu. Bitrix24 tracks:
- Overdue tasks — deadline passed, task not closed.
- Unread comments — new messages in the task.
- Tasks without deadline — can be shown as "requiring attention."
Counters are visible to managers: in Tasks → Effectiveness you see department statistics — how many tasks are overdue, by whom, for how many days.
Automatic Notifications via Robots
Standard reminders aren't always enough. For full control, configure robots:
- 1 day before deadline — robot sends a message to the owner in chat: "Task 'Prepare Report' — deadline tomorrow."
- On overdue — robot notifies creator and department manager.
- Overdue more than 2 days — robot changes task priority to "High" and notifies the director.
Robots in tasks are configured via Tasks → Robots. Triggers "Deadline Changed" and "Task Overdue" are key for control.
Escalation
Escalation is automatic notification of a higher manager during critical delay. It's implemented via business process:
- Task overdue → notify owner.
- Overdue 1 day → notify creator.
- Overdue 3 days → notify department manager.
- Overdue 5 days → notify director.
The chain is set up in the business process designer using delay blocks and conditions. At each step, task status is checked: if closed — the process stops.
Deadline Reports
For system control, use the Employee Effectiveness report: percentage of tasks completed on time, average delay in days, weekly trends.
A department manager sees a ranking: who consistently meets deadlines and who has 40% overdue. Data is collected automatically — no manual filling required.
