Setting up Employee Hiring Process in Bitrix24

Resumes arrive via email, messengers, hh.ru, and LinkedIn simultaneously. Candidate status lives in the recruiter's head or phone notes. Manager asks "how many candidates do we have for analyst position" — and gets an answer next day after manual checking. Bitrix24 brings hiring pipeline into one place: from hiring request to employee start.

Hiring Pipeline via Smart Process

For recruitment, create a separate smart process "Candidate Search". Each element is one candidate. Pipeline stages:

  1. New — resume received, initial assessment
  2. Screening — phone interview, basic requirement check
  3. Interview — meeting with manager or team
  4. Test Assignment — if process requires it
  5. Offer — condition agreement
  6. Hired — candidate confirmed start date
  7. Rejection — with reason noted

Candidate card contains: full name, contacts, desired position, salary expectations, source (where from), resume link, stage assessments.

Hiring Request

Department manager creates request via separate smart process or business process. Request fields: position, department, requirements, priority, start date. Request goes through HR director approval. Upon approval, recruiter gets task and starts search — candidates are linked to request via element relationships.

Interview Scheduling

Bitrix24 solves time coordination:

  • Recruiter creates calendar event in Bitrix24, adds participants — manager and candidate
  • Candidate receives email with date, time, and video call link (for remote interview)
  • Robot auto-creates task when moving to "Interview" stage — manager prepares questions
  • After interview, manager fills "Assessment" field in candidate card

Offer Management

When candidate moves to "Offer" stage:

  • Business process requests approval from HR director and finance lead
  • After approval — offer document generated from template with data substitution
  • Offer sent to candidate email
  • Response deadline tracked: if no reply within 5 business days — recruiter notified

Hiring Analytics

Kanban board shows current pipeline state. Additionally:

  • Time to Close — from request to employee start
  • Stage Conversion — how many candidates reach offer
  • Sources — which channels deliver most closes
  • Recruiter Load — number of candidates in progress
