Setting up Employee Dismissal Process in Bitrix24

An employee submits a resignation letter. Next comes manual work: HR messages IT — disable access, accounting — calculate final pay, manager — take over duties, reception — retrieve badge. Half the steps are forgotten, the former employee sits with active account in corporate systems for a month. Bitrix24 turns dismissal into a managed process with checklist, timelines, and automatic notifications.

Dismissal Business Process

Process starts when HR receives resignation. Stages:

  1. Initiation — HR fills card: employee, last work date, dismissal reason, type (voluntary, mutual agreement, employer initiated).
  2. Handover — manager gets task to assign successor and monitor transition.
  3. Offboarding Checklist — parallel tasks to responsible departments.
  4. Settlement — accounting finalizes calculations.
  5. Document Signing — HR prepares order and related documents.
  6. Completion — all steps done, employee removed from structure.

Offboarding Checklist as Tasks

Offboarding checklist is implemented via parallel tasks in business process:

Department Task Timeline
IT Disable accounts, retrieve equipment 1 day before
Administration Collect badge, keys, parking card Last work day
Accounting Close expense reports, retrieve company funds 3 days before
Manager Confirm task handover and project transitions 5 days before
Security Sign NDA, retrieve security badge Last work day

Each task has deadline and escalation. If responsible person misses deadline — HR gets notified.

Access Revocation

IT gets structured task with systems list where employee has access. Data source — employee card fields or linked "Access" smart process elements. Task checklist:

  • Corporate Email — disable, setup forwarding
  • Bitrix24 — remove from structure
  • VPN — revoke certificate
  • External Services — disable SSO sessions
  • File Storage — transfer document ownership

Exit Interview

Upon moving to "Document Signing" stage, business process creates task for HR — conduct exit interview. Task includes question template. Results recorded in dismissal card comment, available to management for turnover analysis.

Control and Reporting

HR leader sees:

  • List of current dismissals with offboarding progress
  • Overdue tasks — who is delaying
  • Dismissal statistics by period, department, reason
